
Cetec ERP Introduces AI-Powered Tools to Transform Back-Office Operations for Manufacturers!
Cetec ERP LLC has expanded its platform with two new AI-driven automation tools—Document Scan & Attach and AP Automation—designed to simplify and accelerate back-office processes for manufacturing businesses. These new capabilities focus on eliminating manual paperwork, reducing administrative bottlenecks, and improving accuracy by embedding intelligent automation directly into the ERP system.
Manufacturers often struggle with time-consuming document handling, from filing receipts and work order packets to managing vendor invoices and compliance paperwork. Cetec ERP’s new Document Scan & Attach tool addresses this challenge by automatically capturing, reading, and filing documents into the correct records within the ERP. Using a combination of optical character recognition (OCR) and artificial intelligence, the system analyzes scanned PDFs and matches them to the appropriate transactions, work orders, receipts, or vendor files. Documents that cannot be confidently matched are routed to a review queue, allowing teams to resolve exceptions quickly without disrupting workflow.
In practical terms, this means that departments such as receiving or quality can scan large batches of paperwork—Certificates of Conformance, packing slips, delivery receipts, or internal job packets—and the system will automatically attach each document to the correct ERP record. This not only saves hours of manual uploading and filing but also improves traceability and audit readiness, which are critical requirements for many manufacturing environments.
Complementing this capability is Cetec ERP’s new Accounts Payable (AP) Automation tool, which streamlines invoice processing and reduces the burden on accounting teams. Traditionally, AP departments spend significant time manually entering invoice data, matching invoices to purchase orders, and resolving discrepancies. With AP Automation, emailed or scanned vendor invoices are automatically read using OCR and AI, converted into vouchers, and matched against purchase orders and receiving records to perform a full three-way match.
When invoices align correctly with purchase orders and receipts, vouchers can be automatically approved, significantly reducing processing time and delays. If mismatches or discrepancies are detected, the system flags them for review, ensuring that financial controls remain intact while still benefiting from automation. This approach allows manufacturers to scale their accounting operations without increasing headcount, while maintaining visibility and control over cash flow.
Together, these tools are designed to centralize document management and financial workflows within a single, integrated ERP platform. By reducing repetitive data entry and manual filing, Cetec ERP aims to free up employees to focus on higher-value tasks such as analysis, vendor management, and process improvement. For small and mid-sized manufacturers in particular, this increased capacity can translate directly into better operational efficiency and faster decision-making.
