Quality/accreditation requirements involve many factors in addition to full traceability provided by the core modules. These factors include maintenance of customer and supplier approvals and the method of manufacture, which can be managed through the Non Conformance modules.
The Non Conformance modules incorporate both Supplier Non Conformance and Works Non Conformance. Detailed descriptions of the issue, recommended action, preventative action, corrective action and final actions taken are recorded and non conformances can then be categorised to monitor trends and provide focus for ongoing continual improvement.
Supplier Non Conformance (SNC) works with Goods Received to manage issues relating to goods supplied to you. There are two security levels available to users of the module. The first allows records to be raised, edited and printed whilst the second allows an authorised user to close, cancel and reopen the Non Conformance records.
The system records the user ID and name that raised the Non Conformance record together with the date that it was raised. When a record is closed, the system prompts for authorisation and records the user ID and name that authorised closing the record together with the date that it was closed.
If a record is reopened for any reason, the module records the user that reopened it together with details of who had previously closed it and when in the ‘Notes’ field, which can also be used to store any additional information about that specific record.
The user can jump to any related records (Goods Received, Purchase Orders and Tasks) using either a keyboard shortcut or menu option and Document Management is also available.
Works Non Conformance (WNC) works with Works Orders to manage issues relating to components or assemblies that you are manufacturing. A WNC can also be raised against instruments in the Gauge Calibration module, enabling traceability of the rectification or scrapping of an instrument.
Like with SNC, there are two security levels available to users of WNC. The first allows the same access rights, whilst the second allows an authorised user to suspend and release works orders and to close, cancel and reopen the records. Second-level users can also change the status of all quotations for the same drawing number and release them back to their original status when required.
The facility exists to record the actual number of faulty components in addition to the number of components that have been rejected which could well be different. A customer’s concession note number may also be recorded against a WNC record. The user can also specify a category for the record which may provide useful analysis of what is causing the rejects.
The user can jump to any related records (Deliveries, Gauge Calibration, Works Orders and Process Layouts) and Document Management is again available. This may be used to store copies of reject notes or evidence of customer correspondence, such as emails.
When the Non Conformance modules are utilised, PSL Datatrack sends automatic notification of issues to other system users. SNC statistics can be displayed for relevant suppliers when raising a new purchase order or switching to a new supplier, whilst warnings of outstanding WNC’s when raising new works orders is key.
